How we use personal data when you visit our website, contact a club, submit a lead or presale form, or receive marketing from Body Tech.

Who is responsible for your data
Body Tech Fitness Ltd (company number 08337943), registered at Office 16, Egerton House, Tower Road, Birkenhead, CH41 1FN, is responsible for central website and lifecycle-marketing administration.
If your enquiry, membership or visit concerns a particular club, the relevant club operator may also be a controller for that activity. Current operators within this programme include Body Tech Ellesmere Port Ltd (14578706), Body Tech Blackburn Ltd (16014101) and Body Tech Wrex Limited (15716479).
To ask a privacy question or exercise a right, use the Body Tech contact page or write to the registered office above. Tell us which club or service your request concerns so it reaches the correct controller.
What we collect
your name, email address, mobile number and preferred or associated club;
the content and type of an enquiry, lead form or Deeside presale request;
separate email and SMS marketing choices, their source, assertion date and any later opt-out;
membership reference, membership status, lifecycle and site associations supplied by ClubRight or maintained by the relevant club;
form, page, campaign and source information needed to route and audit an intake;
limited request metadata used for security, rate limiting, deduplication and troubleshooting; and
suppression, audit and linkage records needed to respect preferences without forcing separate people to merge.
Please do not put health information, payment-card details or other sensitive information in a general marketing or contact form unless we specifically ask for it through an appropriate route.
Where data comes from
We receive data directly from you, from Body Tech website and presale forms, from Meta lead forms where you choose to submit one, from ClubRight membership records, and from a club team where they record an enquiry or preference on your behalf.
Why we use it
Enquiries and presale. To answer you, route the request and take steps you ask for before joining. We rely on pre-contract steps and our legitimate interest in running responsive club services.
Membership service. To maintain membership status, club associations and service history. We rely on contract, legal obligations and legitimate operational interests as applicable.
Email marketing. To send relevant offers and club updates where you have consented, or where the limited UK electronic-marketing soft opt-in lawfully applies. Every message must provide a straightforward way to opt out.
SMS marketing. Email and SMS are separate channels. Providing a mobile number does not itself opt you into SMS. We use SMS for marketing only where a separate valid choice or another permitted basis is recorded, and each message must offer an opt-out.
Suppression and audit. To honour opt-outs, prevent duplicate or unauthorised marketing, reconcile sources and demonstrate what happened. We rely on legal obligations and legitimate interests in compliant communications.
Security. To detect abuse, protect our systems and investigate faults. We rely on our legitimate interests and, where relevant, legal obligations.
How the current intake works
Website, Meta and Deeside presale leads are designed to enter Body Tech’s private CRM promptly rather than waiting for a ClubRight export. ClubRight data is reconciled separately for membership status and lifecycle.
Mailchimp is the governed delivery platform for eligible marketing identities. Data is synchronised only when the relevant integration is enabled and the identity has a valid marketing state. Email and mobile identities are deduplicated separately; unresolved shared mobile numbers remain excluded from SMS activity.
Submitting an intake does not itself send a marketing email or SMS, start a journey, or dispatch an advertising event. Non-essential tracking remains disabled unless it is separately approved and introduced with the required consent controls.
Who we share data with
We share only what is necessary with:
the Body Tech company and authorised team responsible for your club or request;
managed website, hosting, database, security and email-delivery providers;
Mailchimp, when an eligible marketing identity is synchronised;
ClubRight and, where relevant, Glofox for membership or booking services;
Meta where you use a Meta lead form or where a separately approved advertising integration applies; and
professional advisers, regulators or public authorities where law requires it.
We do not sell personal data. Some suppliers may process data outside the UK. Where they do, we use an applicable UK adequacy regulation or approved contractual and organisational safeguards.
How long we keep it
We keep enquiry and lead data only while it is needed to respond, manage the relationship and deal with any related claim. Membership and transaction records are kept for the period needed to provide the service and meet tax, accounting and other legal obligations. Marketing records are reviewed and removed or anonymised when they are no longer needed.
A minimal suppression record may be retained for as long as it is needed to honour an opt-out and prevent the person being added back from another source. Audit and security records are kept only for the period needed to investigate, reconcile and demonstrate the relevant event.
Your choices and rights
You can opt out of email by using the unsubscribe link and opt out of SMS using the method stated in the message. You may also ask us to give you a copy of your data, correct it, erase it, restrict or object to its use, or transfer it where the law provides that right. You may withdraw consent at any time without affecting earlier lawful use.
You can complain to the Information Commissioner’s Office. We would appreciate the chance to resolve the concern first.

We will update this page when the service, providers or legal basis changes materially. The date at the top identifies the current version.
